Senior Associate Executive (Facilities Management), Eastern General Hospital Planning Office

The Senior Associate Executive will support the division in daily administrative work and provide secretarial and liaison work for the department. You will be responsible for the full spectrum of administrative and support duties including the collation of user requirements, scheduling of meetings, preparation of reports, forms applications, document organising and arrangement, and other clerical functions. You are required to support project tracking, timelines, and team coordination during the hospital set-up phase.
In this role, the Senior Associate Executive will provide comprehensive administrative, operational, and coordination support to the Development Lead and Division by ensuring efficient office operations, accurate handling of travel arrangements, budgeting, billing, procurement, and vendor coordination. The role is responsible for maintaining structured data management and reporting processes, including document control, record compilation, KPI tracking, and preparation of reports to support planning and decision‑making. The Senior Associate Executive will also organize and support meetings, coordinate project set‑up and ramp‑up activities such as workshops and dry‑runs, assist with internal and external audits through proper documentation and follow‑up on recommendations, and perform other duties as assigned to support overall divisional effectiveness and compliance.
Requirements:
- Diploma in any discipline
- Minimum 4 years of relevant experience in administrative work
- Well versed in IT skills such as MS Word, Excel and Powerpoint
- Excellent interpersonal, organizational skills with attention to detail and communication skills
- A good team player who is able to work independently
- Proactive, resourceful, and able to manage multiple tasks efficiently
- Ability to work under pressure and adapt to challenging conditions
