Working in the Division of Medicine to provide full spectrum of administrative support in managing the funded programmes that the Division of Medicine is managing together with Doctors, Allied Health Professionals, Nurses and other administrative staff. 


Job Description:


  • Provide administrative support to the programme to ensure fulfilment of all responsibilities necessary to meet the goals of the funded programme.

  • Provide administrative support including scheduling of meetings, preparation of agendas, recording and maintaining meeting minutes, development of reports and provision of data to funding agencies. 

  • Oversee and provide administrative support to Division to ensure fulfillment of all responsibilities necessary to meet the goals of the funded programmes in Division.

  • Serve as primary point if direct administrative contact for co-workers in other departments, individuals and external parties.

  • Maintenance of records and materials related to programmes activities progress.

  • Ensure optimal utilization of funding resources by working closely with Finance and various multi-disciplinary team members to plan and administer approved funding/budget.

  • Ensure coverage of duties for seamless continuity of programmes.

  • Orientate and mentor junior or new staff in the programmes.

  • Undertakes and performs any other miscellaneous job-related duties or projects as assigned by the HOD or Programme leads.

  • Involve in division-wide and hospital-wide programmes/Initiatives.


Job Requirements:


  • Fresh Degree holder; OR Diploma with 8 years’ experience 

  • With relevant working experience in the above field(s) will be an advantage.

  • Experience in project implementation and management.

  • Capacity to operate both independently and as a team member to produce consistently high quality work

  • A team player and yet able to work independently. Strong interpersonal and communication skills.

  • Strong analytical, organizing and facilitation skills

  • Exceptional verbal and written communication skills and the ability to deal effectively with people at all levels

  • Possess positive personality with high initiative.
