Executive (Contract, Div of Med-Paeds ACP)

 This position is part of the Administration Team who provides administrative, and support functions to the Paediatrics Academic Clinical Programme (Paeds ACP). The members of the admin team report to the Senior Manager, Research and Deputy Director with accountability to Academic Chair, Academic Vice Chair, Research and Academic Vice Chair, Innovation.

 

Job Description:

 

  • Provides administrative support to Academic Vice Chair, Research and Academic Vice Chair, Innovation including scheduling of meetings, preparation of agendas, recording and maintaining meeting minutes, development of reports and provision of data on an annual and/or ad-hoc basis.

  • Works closely with institution research and innovation office and Senior Manager, Research, in following the prevailing and applicable guidelines to assure compliance in all research and innovation related areas.

  • Ensures dissemination of internal and external research and innovation funding information and grant calls timely to Paeds ACP community and extend grant application administrative support to Paeds ACP applicants​​​​​​.

  • ​Ensures strong financial stewardship and good corporate governance of AM philanthropic funds and resources in areas of timely review of AM programme proposals for grant disbursements, monitoring and reporting of programmes progress and outcomes in accordance to AMC's policies and grant terms. 

  • Works closely with Paeds ACP young research talents by providing administrative and writing support to their talent award/ grant submissions, ethics applications, manuscript writing, and/or participation in overseas research scholar programmes.

  • Provides administrative support to students from local and overseas medical schools for their research attachments or postings with mentor-mentee matching within Paeds ACP including liaising internally with Paeds ACP research mentors and externally with coordinators and students from local and overseas medical schools.

  • Manages the Paeds ACP shared research resource hub including the acquisition and development of new research tools and training curriculum for students and fellows attached to Paeds ACP research labs and programmes​​​​​​.

  • Perform administrative duties within Paeds ACP Admin Office to ensure smooth running of the research and innovation operations.

  • Liaise with institution and SingHealth IT in setting up intranet-enabled resources for research and innovation.

  • Performs miscellaneous job-related duties as assigned.

 

Job Requirements:

 

  • Degree holder in Health Sciences, Biomedical Science, Nursing or an equivalent field with undergraduate training in research lab(s) or Diploma holder in Health Sciences, Biomedical Science, Nursing or an equivalent field with 8 years’ relevant experience in research lab/programme administration preferably with training in research lab skills.

  • Demonstrates good knowledge of the administrative processes in IRB application and subject recruitment.

  • Strong writing, presentation, communication and interpersonal skills.

  • A team player and yet able to work independently.

  • Strong analytical, organising and prioritising skills.

  • Strong coordinating and facilitation skills.

  • Possess positive personality with high initiative.

  • Adept at handling complex, ambiguous and challenging situations and comfortable with changes within a fluid environment and a growing organisation.

  • IT knowhows will be a bonus.
