About the Role
Reporting to the Assistant Director of Governance and Administration under the Division of Community Outreach and Philanthropy, you will be responsible for all aspects of the division’s daily operations and NCCS’ charity funds by ensuring regulatory compliance with the Code of Governance for Charities and Institutions of a Public Character (IPCs).
In this role, you will work closely with multiple stakeholders from all levels to provide facilitation and secretariat support for various Board and Committee meetings, annual budgeting, donation administration, grant management and general office administrative duties. You will also act as a mentor to junior staff, providing guidance and developing them.
Some of the Key Responsibilities Include
- Facilitate and coordinate Board and Committee meetings such as timely preparation of agendas, papers, meeting minutes, and tracking of IPC status & board/committee members’ appointment term, etc. to ensure optimal operational efficiency of the meetings
- Work closely with various stakeholders to collate annual budget requests, follow-up on Finance and Audit Committee meetings and strengthen the Charity Funds’ Internal Control Process
- Provide clear guidance to junior staff on donation, grant administration and handle general office administrative related matters to ensure smooth running of the division’s daily operations
Job Requirements
- Degree in any related discipline with 2 to 4 years of experience in Company Secretariat, not-for-profit/ philanthropic sector will be an added advantage
- Strong background in Administration, Finance/Accounting and Internal Control Process with experience in managing a small team
- Good organizational and analytical skills who is meticulous, prefer desk-bound duties and able to manage priorities
- Team-player, self-starter with strong sense of initiative, verbal and written communication skills, with the ability to liaise with stakeholders at all levels
- Proficient in Microsoft Office
