Job Responsibilities
We are looking for a proactive and highly organised Senior/ Associate Executive to provide administrative support to the Chief Operating Officer (COO). The successful candidate should be able to multi-task, maintain strict confidentiality and work effectively with internal and external stakeholders.
The key responsbilities of this incumbent will be as follows:
- Provide comprehensive administrative support to the COO including managing calendars, appointment and travel arrangements
- Handle both internal and external customer queries/requests related to COO’s office and follow-up accordingly
- Monitor and manage the COO’s email, correspondence and meeting requests
- Manage confidential and sensitive information and records for the COO’s office
- Prepare reports, presentations and operational documents and ensure timely submission
- Organise filing system and maintain accurate documentation
- Assist in preparation of budget requirements and managing of budget
- Organise departmental events
- Coordinate communication between the COO and the internal and external partners
- Ensure the smooth running of the office which includes keeping records of department’s asset as and maintaining office supplies
- Coordinate and track action items arising from management, departmental and operational meetings, ensuring timely follow-up and closure.
- Prepare meeting agendas, take minutes, and maintain records of key decisions and action plans.
Job Requirements
- Recognised Diploma in Business or its equivalent with at least 2 years’ of relevant working experience preferably in supporting senior management
- Good interpersonal skills and resourceful
- Good organisational, planning and time management skills
- Able to work independently while managing multiple priorities
- Strong attention to detail and problem-solving skill
- Proficiency in Microsoft Office (Word, Excel, Power point)
- Good oral and written communication skills
