Senior/ Associate Executive (COO's office)

Job Responsibilities

We are looking for a proactive and highly organised Senior/ Associate Executive to provide administrative support to the Chief Operating Officer (COO). The successful candidate should be able to multi-task, maintain strict confidentiality and work effectively with internal and external stakeholders.

 

The key responsbilities of this incumbent will be as follows:

  • Provide comprehensive administrative support to the COO including managing calendars, appointment and travel arrangements
  • Handle both internal and external customer queries/requests related to COO’s office and follow-up accordingly
  • Monitor and manage the COO’s email, correspondence and meeting requests
  • Manage confidential and sensitive information and records for the COO’s office
  • Prepare reports, presentations and operational documents and ensure timely submission
  • Organise filing system and maintain accurate documentation
  • Assist in preparation of budget requirements and managing of budget
  • Organise departmental events
  • Coordinate communication between the COO and the internal and external partners
  • Ensure the smooth running of the office which includes keeping records of department’s asset as and maintaining office supplies
  • Coordinate and track action items arising from management, departmental and operational meetings, ensuring timely follow-up and closure.
  • Prepare meeting agendas, take minutes, and maintain records of key decisions and action plans.

Job Requirements

  • Recognised Diploma in Business or its equivalent with at least 2 years’ of relevant working experience preferably in supporting senior management
  • Good interpersonal skills and resourceful
  • Good organisational, planning and time management skills
  • Able to work independently while managing multiple priorities
  • Strong attention to detail and problem-solving skill
  • Proficiency in Microsoft Office (Word, Excel, Power point)
  • Good oral and written communication skills
