Associate Executive, BSS CSS Management Unit (Contract)

The Breast Cervical Screen Singapore (BSS/CSS) Management Unit at SingHealth plays a vital role in supporting and promoting the national women's screening programme, helping to reduce cancer mortality rates and encouraging more women to take charge of their health through early detection.
You will provide administrative and operational support that keeps the programme running smoothly. You will be the first point of contact for women seeking information and appointments, and your work will directly contribute to ensuring that every participant in the programme receives timely, accurate, and caring service.
What You Will Do:
A core part of your role involves letter generation, producing result notification, rescreen, and follow-up letters within set deadlines, dispatching them via courier or SingPost, and troubleshooting any issues that arise during the generation process. You will also manage follow-up tasks, including daily retrieval of voicemails and returning calls to clients, monitoring undelivered mail, verifying and updating client particulars in the system, reprinting letters upon request, supporting timely follow-up communications, and facilitating appointment-related matters with the National Cancer Centre Singapore when required.
Your primary touchpoint with the public will be through customer service, answering incoming calls, responding to enquiries from clients, physicians, and other healthcare workers about the screening programme, managing appointment bookings, cancellations, and rescheduling, and recording feedback from the public. On the data administration front, you will collate and manage the various database systems used by the programme, prepare and compile monthly statistical reports, and ensure the accurate collection and recording of data. You will also support education and outreach efforts by coordinating events such as talks, booth exhibitions, and roadshows, liaising with public organisations to conduct public talks, participating in health promotional events and preparing event materials.
Your administrative and operational responsibilities will include monitoring and replenishing office inventory, liaising with vendors for letterheads, envelopes, and pamphlets, coordinating with courier services and SingPost for postal operations, coordinating with the Health Promotion Board for the regular supply of BSS and CSS pamphlets, verifying invoices, and claim submissions.
You will also be responsible for the proper operation and upkeep of office equipment, and liaising with vendors for repair works when needed.
Job Requirements:
- Diploma in any discipline, or GCE N-Level/equivalent with at least 6 years of relevant experience and demonstrated competency
- Prior customer service experience in a healthcare or call centre setting will be advantageous
- Pleasant disposition with good phone etiquette, interpersonal, and communication skills
- Detail-oriented, self-motivated, and comfortable working both independently and in a team
- Resourceful and able to manage priorities in a fast-paced environment
- Willing to work occasional weekends or evenings for roadshows and public events, and to travel occasionally to SingHealth Polyclinics and Hospitals
