Join the SingHealth Duke-NUS Transplant Centre (SDTC) and be part of our team providing administrative and operational support across our transplant programmes and centre-wide activities. We are looking for a Senior Associate to provide comprehensive administrative and operational support to the Head, Directors, and Managers of SDTC. This is a hands-on coordination role that spans secretarial support, meeting management, financial administration, and logistics across the centre.

 

What You Will Do:

In your day-to-day work, you will manage the department's common inbox, coordinate email announcements, liaise with vendors for equipment maintenance, monitor office supplies, and track IT service tickets to keep operations running smoothly.

 

For secretarial and meeting support, you will manage calendars and schedule meetings for the Head, Advisors, and Directors of SDTC, coordinate meeting logistics including room bookings and catering, prepare and collate meeting materials, and document and disseminate meeting minutes. You will also track action items under supervision and assist in preparing travel and training documentation for overseas trips and conferences.

 

For financial administration, you will process routine claims, reimbursements, and payments, perform basic document checks using standard checklists, assist with procurement documentation, and maintain organised financial records to support expenditure monitoring and audit readiness.

 

On the logistical side, you will coordinate staff onboarding and offboarding, including workstation setup, system access, and timely termination of access upon resignation. You will also provide administrative assistance to transplant programmes including dashboard updates and data entry.

 

Job Requirements:

  • GCE N Level or equivalent qualification with at least 2 years of relevant administrative experience
  • Prior experience in a healthcare setting would be an advantage
  • Strong verbal and written communication skills
  • Good organising and coordinating skills, with the ability to work well under tight deadlines
  • Self-motivated and a collaborative team player
