You will work at the intersection of research and finance, ensuring our grant management processes meet the highest standards of compliance and accountability. We are seeking a Senior Associate Executive to provide comprehensive operational support for billing, vendor invoice processing, finance administration, and grant financial management. This role offers the opportunity to work with diverse stakeholders including researchers, administrators, and funding agencies whilst developing expertise in research finance operations.

 

What You Will Do:

You will manage billing and accounts receivable by raising invoices accurately with complete supporting documentation, monitoring outstanding receivables, and liaising with stakeholders to resolve billing discrepancies. Your responsibilities include processing vendor invoices for validity and completeness, coding them accurately to appropriate accounts and cost centres, and coordinating with Finance Shared Services on payment timelines. You will prepare and submit administrative forms including delegation requests, cost centre setups, and Internal Order requests, whilst reconciling accrual accounts and responding to queries relating to research cost centre expenses. A significant portion of your role involves grant financial management, where you will verify quarterly claims from institutions for accuracy, review grant variation and extension requests to ensure figures are accurate and justifications reasonable, and coordinate year-end audits with institutional research offices. You will also compile claims for submission to national funding agencies, prepare periodic reports on fund utilisation, and support external auditors during fieldwork by preparing audit schedules and coordinating sighting arrangements with institutions.

 

Job Requirements:

  • Diploma in Accountancy with minimum 6 years of working experience, or Higher NITEC/NITEC/GCE N/O/A Level with 12 years experience and demonstrated competency
  • Exposure to both financial and management accounting responsibilities, preferably in research and education environment
  • Good knowledge of regulatory standards
  • Proficient in SAP and advanced Excel skills
  • Excellent analytical skills with experience in financial modelling work
  • Hands-on attitude with high degree of initiative and resourcefulness
  • Strong organisational and problem-solving abilities
  • Independent self-starter with ability to multi-task in dynamic, fast-paced environment
  • Strong teamwork orientation with ability to manage cross-functional and institutional relationships
  • Ability to interact effectively with researchers, academicians, administrators and external stakeholders
