Senior Associate Executive, Regional Hospital Network

You will be part of a team dedicated to strengthening regional healthcare planning and collaboration, providing the operational support that enables the department to focus on its broader mission. We are seeking a Senior Associate Executive to provide comprehensive administrative and secretarial support to the Group Director of RHN and the department. You will support RHN in daily administrative work and be responsible for the full spectrum of administrative and support duties, including scheduling of meetings, preparation of reports, document organising, finance support, and other administrative functions.
What You Will Do:
Your day-to-day responsibilities will span a broad range of administrative functions. You will manage incoming and outgoing mail, maintain office equipment and liaise with vendors for maintenance works when needed, and support purchase requisitions and inventory tracking. You will book travel arrangements, organise local visits, source vendors for office supplies, verify invoices and billing, and process department claims. You will also handle onboarding and offboarding administrative tasks for new hires and departing staff, manage IT leasing requests, and provide logistical support for events planning and management.
You will maintain and update departmental reports and records in the shared drive, ensuring documents can be retrieved easily. A key part of your role will be organising meetings and maintaining the meeting schedule for the Group Director and the department, coordinating regular meetings for the RHN team and the Group Director's meetings with relevant stakeholders.
You will also maintain monthly financial reports in the shared drive, ensuring they are kept up to date and accessible to team members. Additionally, you will facilitate and coordinate the learning and development needs of the department, including tracking and maintaining all training records and providing administrative support for courses and conferences for team members as required.
Job Requirements:
- Diploma in a related discipline with at least 4 years of relevant experience in administrative work
- Strong organisational and coordination skills, with excellent interpersonal and communication skills
- A responsible and resourceful team player who is able to work independently
- Detail-oriented and able to work in a fast-paced environment
