Senior/Associate Executive, Office of Insights and Analytics
We are seeking a Senior/ Associate Executive to provide comprehensive administrative, operational and secretarial support to the Office of Insights & Analytics (OIA).
You will be responsible for coordinating meetings, events and workshops, supporting day-to-day operational activities, and managing essential processes such as Information Technology (IT) asset tracking, onboarding administration and finance verification. You will also assist in maintaining communication platforms to ensure smooth information flow and act as a key point of contact for internal and external stakeholders to facilitate efficient team operations.
Key Responsibilities:
You will schedule meetings, workshops, training sessions and stakeholder briefings for change projects, whilst coordinating and providing administrative support for various in-person and virtual meetings, programmes, events and workshops. This includes updating participant lists, sending invites, and preparing logistics. Additionally, you will maintain and update IT asset inventory, including issuance, returns and coordination with IT teams, as well as manage onboarding administration through account setup, access requests and equipment preparation.
Your role will involve verifying payment documents for completeness and accuracy and supporting finance submission processes. You will provide general operational and administrative support to ensure smooth team functions and serve as a point of contact for basic questions from staff about change events, schedules or training. Furthermore, you will attend to internal and external enquiries and provide appropriate information and advice upon discussion with your supervisor, bringing urgent issues to the attention of the supervisor or team lead immediately. You will also liaise with offices of senior management, other Heads of Departments, divisional and departmental staff, as well as external stakeholders, whilst providing secretarial and administrative support to the department.
Job Requirements:
- Diploma in Business, Information Management, Healthcare Administration or a related discipline. Candidates with more years of experience will be considered for senior position.
- Relevant administrative, operations or IT-related certifications will be an advantage.
- Experience in IT asset coordination, onboarding administration or finance verification will be an advantage.
- Minimum proficiency in Microsoft Office. Proficiency in Microsoft 365 (M365) applications will be an added advantage.
