Senior/Associate Executive, SingHealth Office of Regional Health System (Contract)

Our team works at the intersection of community health, general practice engagement, and regional health system development — and we are looking for someone organised, proactive, and people-oriented to help keep our operations running smoothly.
In this role, you will provide essential administrative, operational, and logistical support to the Regional Health System (RHS) division, working closely with a Senior Manager or Manager to ensure the team can focus on delivering impactful health programmes and initiatives across the region.
What You Will Do:
You will be the operational backbone of the team, managing day-to-day office functions such as maintaining office equipment, coordinating with vendors when repairs are needed, and ensuring that stationery and supplies are well-stocked. You will also handle invoice verification, billing collation, and claims processing to keep administrative workflows on track.
Supporting the team's meeting schedule is a key part of the role. You will coordinate meetings across different RHS workgroups, arrange venues and equipment, and ensure that minutes are distributed and filed in a timely manner so that all team members remain informed and aligned. When it comes to events, whether conferences, talks, retreats, or focus groups, you will be involved from planning through to execution. This includes managing logistics, coordinating with vendors, arranging refreshments, and supporting the team on the day itself to ensure everything runs smoothly. You will also manage and update the RHS websites on both the intranet and internet, and support general practitioners (GPs) by creating accounts on the SingHealth GP Portal and resolving login enquiries in a timely manner.
Beyond operational support, you will contribute to projects run by SORH, including conducting patient satisfaction surveys, coordinating volunteers for programme delivery, and collating and analysing data to generate reports that support programme outcomes.
Job Requirements:
- Diploma in any discipline with at least 2 to 3 years of relevant administrative or operational experience
- Strong organisational and coordination skills, with the ability to manage multiple tasks and deadlines independently
- Excellent interpersonal and communication skills, with confidence in engaging both internal teams and external stakeholders such as vendors and GPs
- Meticulous and detail-oriented approach to work, with a positive and resourceful attitude
- Ability to work with minimal supervision while remaining a collaborative team player
