Senior Associate, Crisis Planning & Operations

We are seeking a detail-oriented and proactive Administrative Assistant to support the Crisis Planning and Operations department in maintaining emergency preparedness, coordinating exercises, and ensuring compliance with operational requirements. This role requires strong organisational skills, the ability to work under pressure, and experience in administrative coordination within healthcare.

 

Key Responsibilities:

The incumbent is required to perform the following tasks:

  • Prepare and submit KPI reports and financial statements
  • Operational support on exercise days, including attendance taking, vendors liaison, event coordination
  • Administrative duties, including but not limited to, management of emails, preparation of presentation slides, Intranet page maintenance, maintenance of documents, updating of department SOPs and ensuring accurate records of validity of training
  • Provide secretariat support for committees including meeting coordination, venue arrangements, minute-taking, preparation of presentation materials
  • Processing incident reports and collating information to update stakeholders
  • Event planning and catering arrangements
  • Support other ad hoc operational plans as activated
  • Handle confidential matters in a professional manner

 

Required Qualifications:

  • Minimum GCE 'A' Level, or equivalent qualification
  • Minimum 2-3 years of administrative experience, preferably in healthcare, emergency management, or government sectors
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and FormSG or similar electronic form systems
  • Strong written and verbal communication skills
  • Excellent organisational and time management abilities
  • Experience with meeting coordination and minute-taking
