We are seeking a proactive and organized individual to provide comprehensive administrative and manpower planning support to the Division of Medicine & Inpatient Care, ensuring the smooth running of day-to-day departmental operations.
Your Key Responsibilities shall include but not limited to the following:
- Plan, coordinate, and manage doctors' rosters, including on-call, weekend, and public holiday coverage to ensure adequate clinical manpower.
- Monitor staffing requirements and proactively address roster gaps arising from leave, training, and unforeseen absences.
- Work closely with clinical leaders and departments to optimize manpower deployment and ensure continuity of patient care.
- Provide administrative support across various medical specialties within Division of Medicine & Inpatient Care
- Demonstrate flexibility and be adaptable to support different clinical services through job rotation as required.
- Manage clinicians' clinic blocking schedules, leave administration, and other administrative matters.
- Coordinate departmental meetings, teaching sessions, events, logistics arrangements, bookings, attendance tracking, and minute-taking.
- Assist in the collation and reporting of clinicians' performance indicators and departmental KPIs.
- Coordinate and manage medical report requests efficiently.
- Administer IT and hardware access for onboarding and offboarding doctors.
- Support orientation and onboarding activities for new doctors.
- Participate in quality improvement and service excellence initiatives.
- Liaise with internal and external stakeholders on departmental matters.
- Maintain accurate records of clinician rosters, leave, and claim submissions.
- Provide cross-coverage for colleagues during their absence.
- Perform other duties as assigned by the Head of Department or Manager.
Requirements
- Diploma in Healthcare Administration, Business Administration, or a related discipline. Higher NITEC holders with relevant experience are welcome to apply.
- Preferably at least 2 years of experience in healthcare administration, manpower planning, rostering, workforce management, or operations support.
- Proficient in Microsoft Office applications and comfortable with IT systems.
- Strong communication, interpersonal, and organizational skills.
- Meticulous, detail-oriented, and able to manage multiple priorities effectively.
- Positive attitude, strong team player, and able to work independently in a fast-paced environment.
